Education Committee Guidelines

I. Purpose of the Committee

The Education Committee (Committee) is a standing committee of the Midwest Archives Conference (MAC) which shall develop, implement, and report on an educational programs for MAC which may include workshops (including those sponsored by other organizations, such as the Society of American Archivists); seminars; basic, intermediate, and advanced sessions; or special projects.

The Committee shall maintain close communication with the Local Arrangements Committee and the Program Committee for the MAC annual meeting. There will be liaison appointed to the Program Committee.

II. Committee Selection, Composition, and Length of Term

A. The Chair (or Co-chairs) shall be appointed by the President with the approval of Council.

B. The Chair (or Co-chairs) shall serve for two years and may be reappointed for one additional one year term.

C. The membership of the Committee shall consist of a Chair (or Co-chairs) and at least four members, one of whom shall also serve as an ex-officio member of the Program Committee. Committee members shall serve for terms of three years on a staggered basis.

D. The name of the Chair (or Co-chairs) shall be announced to the MAC membership and also made available online.

III. Reporting Procedures

A. The Chair (or Co-chairs) shall submit written reports on the educational programs offered, membership evaluations, and plans for future programs to the President and Council for consideration prior to the spring and fall Council meetings.

B. The Chair (or Co-chairs) shall provide other reports as requested by the President.

C. Committee reports or abstracts shall be made available to the MAC membership.

IV. Duties and Responsibilities of the Chair (or Co-chairs) and Committee

A. The Chair (or Co-chairs) shall attend all Council meetings as a non-voting member, and be aware of all aspects of MAC activity through receipt of all official (i.e., committee, task force, etc.) reports submitted to Council.

B. The Chair (or Co-chairs) shall appoint members to vacancies on the Committee.

C. The Chair (or Co-chairs) shall be responsible for sharing Education Committee Guidelines with the Committee.

D. The Committee shall plan, coordinate, and implement continuing education for the membership by providing workshops and other programs at the basic, intermediate and advanced levels.

E. The Committee shall offer programs and special educational opportunities directed toward improving professional qualifications and strengthening of archival programs.

F. The Committee shall report to the President and Council for review and approval the proposed format and general outline of educational programs it plans to offer.

G. For the annual meeting, the Committee shall develop (in consultation with the LAC/PC Co-chairs and MAC Vice President) the number, length, times, description, and equipment needs of any educational sessions to be offered at the annual meeting and provide descriptions of all workshops to the Local Arrangements Committee (LAC) for inclusion in the pre-registration program.

H. The Chair (or Co-chairs) shall negotiate with the Society of American Archivists to co-sponsor SAA workshops. SAA workshops (normally 1 full-day workshop, to take place prior to the MAC meeting, never running concurrent with conference sessions) will be selected in consultation with the Program Committee. Negotiations and choices of workshops must also be reported to the Vice President. Contracts for such co-sponsorships may not be signed by the Chair, since contracts may legally be signed only by the President or Vice President. Once contracts are agreed upon, the Chair (or Co-chairs) should inform the Program Committee of final choices. The Committee will also collaborate with the LAC, in regards to any logistical issues.

I. The Committee shall assess and evaluate the quality of MAC’s educational programs.

J. The Chair (or Co-chairs) shall maintain relevant and accurate Committee records, including guidelines, and update documents as needed. All changes to the Education Committee Guidelines shall be submitted to Council for approval.

 K. The outgoing Chair (or Co-chairs) shall share all relevant information and materials relating to the Committee to the succeeding chair (or co-chairs) to facilitate the smooth transition of responsibilities and shall forward all other permanently valuable documentation to the MAC Archives.
